Travel Policy
1. PURPOSE
This Travel Policy outlines the standards, procedures, and billing principles applicable when Plan-It Technologies personnel are required to travel to perform Services. It ensures consistency, transparency, and fairness across both domestic and international engagements. This Policy supports operational planning, cost recovery, and client communication regarding travel-related expectations. This Travel Policy forms part of and must be read together with the General Terms and Conditions of Plan-It Technologies.
Domestic travel applies to all Services performed within the Republic of South Africa.
All distance thresholds referenced in this Policy are calculated on a one-way basis from Plan-It Technologies’ registered base of operations to the Client’s site.
2.1 Travel Distance and Rates
Domestic travel applies to all Services performed within the Republic of South Africa.

2.1.1 Included Distance
The first fifty (50) kilometres travelled (one way) are included in the standard call-out rate.
2.1.2 Day Rate (Call-Out Included)
Where a Full Day Rate is charged for Services (Installation and/or Programming) performed on-site, the call-out fee is deemed included in the Day Rate and shall not be billed separately. The included distance specified in Clause 2.1.1 shall continue to apply.
2.1.3 Additional Distance
Distances exceeding fifty (50) kilometres (one way) shall be billed at the reimbursement rate prescribed by the Minister of Finance (currently R4.76 per kilometre as of 1 March 2025), which shall automatically adjust in accordance with any future amendments.
2.1.4 Toll Roads and Parking Fees
All toll fees and parking charges incurred during travel shall be billed separately.
2.2 Accommodation and Distance Thresholds
2.2.1 Local Travel Below 110 km (One Way)
Where the site is located less than 110 km (one way):
• Distance charges apply in accordance with Clause 2.1.
2.2.2 Regional Travel Beyond 110 km and Less Than 170 km (One Way)
Where the site exceeds 110 km but is less than 170 km (one way):
• Distance charges apply in accordance with Clause 2.1.
• Accommodation shall be mandatory unless the Combined Time Threshold set out in Clause 2.2.6 is not exceeded.
• Travel Time Charges do not apply within this band.
2.2.3 Travel Beyond 170 km and Below 450 km (One Way)
Where the site exceeds 170 km but is less than 450 km (one way):
• Distance charges apply in accordance with Clause 2.1.
• Accommodation shall be mandatory unless the Combined Time Threshold set out in Clause 2.2.6 is not exceeded.
• Travel Time Charges shall apply in accordance with Clause 2.3.
2.3.4 Remote Sites (Above 450 km)
Where the site exceeds four hundred and fifty (450) kilometres (one way):
• A full day shall be allocated exclusively for travel.
• No on-site Services shall be performed on that travel day.
• Travel Time Charges shall be capped at a maximum of three (3) billable hours per travel day.
• The total Travel Time Charge per distinct travel event shall not exceed six (6) billable hours, subject to Clause 2.3.5.
2.3.5 Multiple Mobilisations
For the avoidance of doubt, each separate mobilisation to and from the Client’s site shall constitute a distinct travel event.
Where Plan-It Technologies travels to site, returns to base, and subsequently remobilises to the same site, Travel Time Charges shall apply to each mobilisation individually in accordance with Clause 2.3.
Any applicable caps on Travel Time Charges shall apply to each travel event individually.
2.2.6 Combined Time Threshold (12-Hour Rule)
Accommodation becomes mandatory where:
The combined estimated journey duration and on-site installation/service time exceeds twelve (12) hours within a single calendar day.
For purposes of this calculation:
• Estimated journey duration shall be determined by dividing the one-way distance by an average road speed of 90 km/h.
• The calculated journey duration shall apply to both outbound and return travel.
This calculation is for operational planning purposes only and does not constitute a Travel Time Charge.
Plan-It Technologies reserves the right to require accommodation where operational safety, technician fatigue, scheduling constraints, or project requirements reasonably justify such requirement.
2.2.7 Travel Distance Charges Where Accommodation Is Required
Where overnight accommodation is required:
• The included fifty (50) kilometres referred to in Clause 2.1.1 shall not apply for the duration of the accommodation period.
• A maximum of ten (10) kilometres per day (One Way) shall be included for local travel between accommodation and site.
• Additional kilometres shall be billed in accordance with Clause 2.1.3.
2.2.8 Accommodation Proximity
Client-arranged accommodation must be within ten (10) kilometres of the site.
2.3 Travel Time
Travel Time Charges are separate from distance charges and accommodation determinations.
2.3.1 Travel Time Charges shall apply only where the site exceeds 170 km (one way).
2.3.2 Only the portion of the one-way distance exceeding 170 km shall be used in calculating Travel Time Charges.
2.3.3 Travel Time Charges shall be calculated by dividing the qualifying distance by an average road speed of 90 km/h.
2.3.4 Travel Time Charges shall be billed at the applicable hourly rate agreed with the Client (whether SLA or Standard Rate).
2.3.5 Travel Time Charges shall not overlap with billable installation or service hours.
2.4 Accommodation Requirements (Domestic and International)
This section applies to all overnight accommodation required for the performance of Services.
2.4.1 Minimum Star Rating
Accommodation must:
• Be a minimum three (3) star rated establishment as graded by the Tourism Grading Council of South Africa (TGCSA) or an equivalent officially recognised grading authority in the relevant jurisdiction; or
· Where no formal grading system exists, be demonstrably equivalent to a three (3) star business-standard establishment and meet the minimum facility standards set out in Clause 2.4.2.
Plan-It Technologies reserves the right to require a higher grading where reasonably necessary due to safety considerations or operational requirements.
2.4.2 Minimum Facility Standards
Accommodation must:
• Provide clean and hygienic facilities;
• Include fresh towels and bedding;
• Provide secure premises with controlled access;
• Provide secure parking suitable for company vehicles and equipment (where applicable);
• Provide 24-hour access;
• Include functioning in-room air-conditioning;
• Provide reliable WiFi suitable for business communication accessible in the rooms;
• Provide private rooms per deployed team member unless otherwise agreed in writing.
2.4.3 Meals and Dietary Requirements
Where overnight accommodation is required:
• Daily breakfast shall be included.
• Dinner shall be included for international deployments.
Meals must reasonably accommodate:
• Documented food allergies;
• Religious dietary requirements (including Halal and Kosher);
• Vegetarian or vegan requirements;
• Medically required dietary restrictions.
Plan-It Technologies shall notify the Client in writing of any Halal, Kosher, allergy-related, or other specialised dietary requirements prior to mobilisation.
Where accommodation cannot reasonably cater for the communicated requirements, the Client shall arrange alternatives or reimburse reasonable costs.
2.4.4 Laundry
Where engagement exceeds five (5) consecutive days, laundry services must be included at least once per week per deployed team member.
2.5 Domestic Sustenance (SNT)
2.5.1 Daily Sustenance Allowance R250 per deployed team member per day (covers lunch and dinner).
2.5.2 Breakfast Allowance R100 per day where breakfast is not included in the accommodation package.
2.5.3 Sustenance allowances shall correspond directly with the number of overnight accommodation bookings required.
2.6 Air Travel and Vehicle Rental (Domestic and International)
This Clause 2.6 applies to all air travel and vehicle rental arrangements required for the performance of Services.
2.6.1 Responsibility for Travel Arrangements
Where air travel or vehicle rental is required, the Client shall be responsible for:
• Arranging and confirming all flight bookings;
• Arranging and confirming all vehicle rental bookings; and
• Making full payment directly to the airline, travel agency, or rental provider.
Plan-It Technologies shall have no obligation to arrange or advance payment for such travel services unless expressly agreed in writing.
• Provide 24-hour access;
• Include functioning in-room air-conditioning;
• Provide reliable WiFi suitable for business communication accessible in the rooms;
• Provide private rooms per deployed team member unless otherwise agreed in writing.
This Section applies to all Services performed outside the Republic of South Africa.
Unless otherwise expressly stated, the provisions of Clauses 2.4 (Accommodation Requirements) and 2.6 (Air Travel and Vehicle Rental) shall apply to international travel.
3.1 Minimum Daily Billable Hours
A full Day Rate, as defined in the General Terms and Conditions, shall be billed per deployed team per calendar day for all international Services, regardless of the actual number of hours worked.
3.2 Weekend and Public Holiday Billing
The applicable Day Rate and multipliers set out in the General Terms and Conditions shall apply to all international deployments, regardless of whether Services are actively performed on that day.
Accordingly:
• Saturdays shall be billed at 1.5 × the applicable Day Rate.
• Sundays shall be billed at 2.0 × the applicable Day Rate.
• Public Holidays observed in the Republic of South Africa shall be billed at 2.0 × the applicable Day Rate.
Public Holidays observed in the host country where Services are performed shall be treated as normal working days and billed at the standard Day Rate, unless otherwise agreed in writing prior to deployment.
3.3 Travel Days
Travel days shall be billed at a full day rate, unless they fall on a weekend or public holiday, in which case Clause 3.2 shall apply.
3.4 International Sustenance Allowance (SNT)
• USD $30 per deployed team member per day
• Applies to all days abroad, including travel days, weekends, and public holidays
Plan-It Technologies reserves the right to adjust the International SNT for high cost-of-living destinations, provided written notice is given to the Client prior to deployment.
3.5 International Compliance and Travel-Related Expenses
In addition to the provisions of Clause 2.6, the Client shall be responsible for:
• Visa fees
• Work permits and regulatory approvals
• Vaccinations and medical requirements
• International travel insurance
• Airport parking or shuttle services within South Africa
• Ground transport abroad
• SIM cards and data allocations (minimum allocation calculated)
• Incidental compliance-related expenses
Such costs may be invoiced in advance or post-travel and shall constitute Anticipatory Costs in terms of Clause 12.7 of the General Terms and Conditions.
3.6 Ground Transportation Abroad
• Uber or an equivalent service shall be used where reasonably available.
• Surge pricing shall be for the Client’s account.
• Where ride-share services are unavailable or unsuitable, the Client shall arrange appropriate chauffeur or ground transport services.

3.7 Delays and Standby
All delays, standby time, or interruptions outside the control of Plan-It Technologies shall remain billable.
Minimum daily billing provisions in Clause 3.1 shall continue to apply.
3.8 Withholding Taxes
Any foreign withholding taxes imposed on payments due to Plan-It Technologies shall be for the Client’s account.
Invoices shall be grossed-up where necessary to ensure that Plan-It Technologies receives the full net amount invoiced.
4.1 Applies to all engagements requiring travel.
4.2 General Terms and Conditions prevail in case of conflict.
4.3 Unlisted travel costs billed on reasonable-cost basis.
